Student Organization Travel

A student organization that is traveling (local or non local) for Competitions, Matches & Tournaments, Conferences & Workshops, Semi-Formals & Formals, and Retreats require the submission of a Pre-Travel Itinerary Form and, if driving, must complete the Driver Certification process.

Student Organizations traveling outside of the Chicagoland area (Cook, DuPage, Kane, Lake, McHenry, and Will counties) must also complete Travel Waivers for each traveling member.

Please note that in some situations that have an increased level of risk, student organizations may still need to complete the Travel waiver for travel within the Chicagoland area along with a Risk Management Plan, and Pre-trip Orientation.  Details on that process can be found below and expectations will be communicated to student organizations when submitting the Pre-Travel Itinerary Form.

  • Pre-Travel Itinerary Form

    The Pre-Travel Itinerary Form must be completed 14 days prior to the first date of travel. Please allow up to 5 business days for review and approval, denial, or request for additional information.

  • Travel Waiver

    Each traveling member of a student organization must complete a Travel Waiver.

  • Travel with Increased Risk Potential

    If an event has the potential for increased risk, student organizations leaders may be asked to complete additional steps as related to organization travel.  For these situations, organization leaders may be expected to complete added requirements- regardless of the county of travel for the experience.  Student Involvement will confirm the process for each travel experience as every one is unique, but student organization leaders can expect it to look similar to the below outlined process.

    1. Complete the Pre-Travel Itinerary Form – to be completed by a board member organizing the experience.
    2. Travel Release & Waiver – to be completed by each participating member.
    3. Event Release & Waiver – to be completed by each participating member.
    4. Risk Management Plan – to be developed by the board members of the sponsoring organization and due in writing to Student Involvement prior to travel. Should outline potential scenarios that students may face in escalating nature and what students should do should one of the situations happen.
    5. Pre-trip Orientation for all Participating Members to overview approved Risk Management Plan – this can be immediately prior to travel if needed, but all participating students should go through it. When submitting the Risk Management Plan to OSI, you can include you plan for the Pre-trip Orientation.
  • Driver Certification

    Complete the Driver Certification Request Form. Please note that certification can take seven (7) days and will require:

    Certification is required when:

    • An employee, student, or volunteer drives a University Vehicle, or
    • An employee, student, or volunteer uses any vehicle to transport students or minor children for University Business
      • University Business as it relates to student organizations includes
        • Competitions, Matches, and Tournaments
        • Conferences and Workshops
        • Semi-Formals & Formals
        • Retreats

    Also, please be aware of the requirements for drivers:

    • Have and have held a driver's license that is valid in the state of Illinois for a minimum of two years.
    • Have no more than two at-fault accidents/violations within the last three years.
    • Have no DUI or DWI convictions within the last five years or multiple DUI/DWI violations.
    • Be at least 18 years old. Drivers who wish to operate a full-size (10-15 passenger) van or transport minor children must beat least 21 years old.
